MVHS has amassed a collection well in excess of half a million objects and documents, which illuminate human experiences in this region of Ohio from the present to the earliest people to inhabit the Mahoning River watershed more than 10,000 years ago.
MVHS has two locations.
Arms Family Museum on Wick Avenue, which includes the Stewart Media Archives Center, a repository for local broadcast media history collections and production facilities, in the former Arms Carriage House on the rear of the property.
Tyler History Center on West Federal Street features exhibit galleries, an education center, restored ballroom and event space, and the MVHS Archives Resource Center housing the Society's extensive archives collection.
Members of the MVHS Board of Directors and staff fully appreciate the organization's professional, ethical and fiduciary responsibilities to preserve the collections and other resources entrusted to the organization, and to make them accessible to all people, for now and for generations to come.
Job Description:
The Administrative Assistant is responsible for providing support for administrative functions among the MVHS staff and Board of Directors, and for being the always courteous first contact to the public during office hours and at special programs and events, under the supervision of the Executive Director.
Responsibilities:
Clerical:
Provide preliminary contact with the public over the telephone, answering basic questions regarding MVHS events and programs, hours of operation, etc.
; forward other calls to appropriate staff members; greet and provide directions for walk-in visitors, appointments and meeting attendees at the administrative offices.
Support the Executive Director and other senior staff members in administrative tasks:
typing of correspondence and reports, filing, daily incoming and outgoing mail, organizing and assembling bulk mailings, scheduling and arranging meetings, compiling statistics for reports, calling for service of office equipment and buildings systems, ordering supplies, etc.
Maintain a monthly staff master calendar; compile and organize the Executive Director's weekly schedule.
Supervise volunteers involved in mailings and other administrative support functions.
Membership/Fund Development:
Support the Development Director in maintaining databases of personal information, categories and new receipts for the MVHS membership program; generate mailings to the membership; print and mail out acknowledgement letters and membership cards; compile reports.
Maintain records of individual contributions to the Annual Appeal and capital campaign; track restricted and unrestricted gifts and grants from corporations and foundations; compile data into reports for the Executive Director and Development Director.
Other:
Regular training to provide support with bookkeeping functions.
Assist with public relations tasks:
distributing press releases, media contacts, etc.
Represent the organization at society-sponsored public programs and events.
Other duties as assigned.
Qualifications:
Associate's Degree in appropriate discipline preferred, or previous experience in lieu of a degree; excellent verbal and written communication skills; good organizational skills; typing; knowledge of and experience with Microsoft Office software; knowledge of and experience with basic bookkeeping functions helpful but not required.

Estimated Salary: $20 to $28 per hour based on qualifications.
